Keeping a good prospect you cannot email

Nothing is thrown away and nothing is invented. The prospect keeps its research, its evidence and its qualification, and is marked as researched rather than contactable. Connect proposes a different next action — a call where a number is published, or work for a person — and the record waits for one of four things to make it reachable.

The chain, stage by stage#

  1. Trigger — contact discovery finished and found no stated address for an organisation that otherwise qualifies.
  2. External event — none. The organisation has published nothing to write to, which is a fact about them rather than an error on your side.
  3. Authentication and workspace resolution — the prospect and everything attached to it stay inside the workspace that discovered them.
  4. Request — the outcome of the search is recorded, including that nothing was found. An absence with no record of the attempt invites the same search again next month.
  5. Canonical record — the research, the evidence, the qualification and its reasons all remain. What changes is one state: researched, not contactable.
  6. Reasoning — the next action is chosen from what the organisation actually publishes. A telephone number is a route; a web form is work for a person; nothing at all is a wait.
  7. Knowledge, memory and rules — the refusal to construct an address applies here and is absolute. Nothing pattern-generated is produced, tested or written to at any point in this flow.
  8. Autonomy and approval — a proposed call is still an outbound action and passes the same gates as any other. Nothing is placed because a prospect happened to be interesting.
  9. Action or no action — a phone follow-up may be created; a task follow-up may be created for a person; or nothing is scheduled and the record waits.
  10. Result — the prospect sits on the list, visibly researched and visibly not emailable, rather than disappearing into a bounce queue.
  11. Relationship, timeline and memory — none of this touches a relationship. There is no person to attach anything to yet, which is precisely the situation being handled.
  12. Audit, usage and Needs You — the research already spent is metered and recorded, and anything needing a human judgement is ranked into Needs You.

What is kept#

  • The research and its evidence — every claim with the source that stated it, which is the expensive part and the part worth keeping.
  • The qualification and its reasons — the judgement stands whether or not you can act on it today.
  • Why it was discovered — which criteria matched, so a later change of criteria can revisit the record deliberately.
  • That the search happened — the record of an unsuccessful contact search is what stops the same search running again at cost.
  • Any other published route — a telephone number, a business messaging number, a physical presence. An organisation with no email address is not necessarily unreachable.

Deleting the record is the tempting alternative and the expensive one. The research has been paid for; a deleted prospect is rediscovered on the next run, researched again, and arrives at the same conclusion with a fresh bill attached.

A task follow-up is the underrated one. "Ask the supplier who introduced us whether they know anyone here" is a genuine route into an organisation that publishes nothing, and it carries a reason, so the colleague who picks it up in three weeks knows what it was for.

The four ways it becomes reachable later#

  1. Wait for freshness to re-research it.

    Result Organisations publish contact details when they start hiring, launching or selling. Re-research is governed rather than constant, so this costs nothing until it is worth spending.

  2. Import it. A list you already hold, or one somebody gives you, can supply the address.

    Result The address arrives with you as its provenance, which is honest and auditable — quite different from one Connect constructed.

  3. Reach them another way and let them reply.

    Result An inbound message is a different path entirely, with different gates from outreach. The two are never merged, which is why a conversation they started is not governed by your cold-outreach rules.

  4. Change the criteria if this keeps happening.

    Result A contactability rate that is persistently low usually means the criteria describe businesses that publish very little. That is a channel decision — phone rather than email — not a defect.

Questions#

Why not just work out the address from their website?

Because a constructed address is a guess wearing a plausible shape. Nothing pattern-generated is produced, tested or written to here — the cost of being wrong lands on your sending reputation and on somebody who never asked to hear from you, and it is not recoverable by apologising.

Does the prospect still count towards my list?

It is a researched prospect, and it is counted as one. What it is not is contactable, and the two figures are reported separately precisely so a list of a thousand researched organisations is not mistaken for a thousand you can write to.

Can I add an address myself?

Yes, and it is recorded as coming from you. That is the right route for an address somebody gave you directly. It is the wrong route for one you inferred from a pattern, because the record will then say a human supplied it.

Will Connect keep trying to find one?

Re-research is governed by freshness rather than run continuously, so the record is revisited when that is worth doing rather than on a loop. Nothing is spent in the meantime.
